The Initial Visit with Our Certified Office Moving Consultant

During the initial visit to your office, our Certified Office Moving Consultant will provide the following assessment services:

15 minute overview of Professional Movers.com. with Q & A

Our Certified Office Moving Consultant will sit down with you and provide you with a brief overview of our services. He will present you with a Professional Movers.com Office Moving Planning Guide. The guide contains illustrated pictures with descriptions of the latest innovative moving methods we will use to perform your move and the latest protective materials that we will use to protect your office and furniture. It also contains a folder, an office move timeline checklist, and a notes page that will help assist you with planning all the details of your upcoming move.

Our Certified Office Moving Consultant will then ask a series of questions related to your move such as, “What are your targeted move dates?”, “How many employees will be moving?”, and “Will your company need assistance with the relocation of your computer systems?” Our Certified Office Moving Consultant will look to uncover details of your move that will allow him to better understand the services you will need performed. This will also enable him to provide you with the most cost-effective solutions. During this time, it will also be your opportunity to ask questions and bring up any concerns you may have regarding your office move.

Finally, our Certified Office Moving Consultant will supply you with a list of the 5 most recent companies that we have moved that are comparable in size to your move. This will give you a chance to contact references of other organizations that we have moved before. Should you need additional assistance with locating other good vendors such as electricians, office furniture dealers (both new and refurbished furniture), document purging companies, architects / space planners, phone and internet providers, security companies, and construction contractors, our Certified Office Moving Consultants will be happy to help.

A walk-through of your current office space

Our Certified Office Moving Consultant will ask you for a floor plan for your current and new location. If you do not have a floor plan, it’s not a problem, because he will be gathering space planning notes as he surveys your office items. As he performs his walk-through, he may ask you to join him so he can ask you questions regarding the furniture and contents that you would like to be moved. Room by room, our Certified Office Moving Consultant will be collecting a detailed inventory of the office contents that you would like to be moved. He will also provide you with instructions on which office items will need to be emptied prior to your relocation.

During the walkthrough, our Certified Office Moving Consultant may need to measure furniture or inspect the construction of furniture to make notes regarding the tools needed to disassemble and reassemble items during your move. At Professional Movers.com we recognize that as the walk-through is taking place, your business is still operating, so our Certified Office Moving Consultants will be as discreet as possible and will do their best to minimally disrupt your work environment. This portion of our initial visit can be time consuming but try to remember, we want to be as thorough as possible so we can give you an accurate cost for your move. If another moving company visits and is done with their survey in five minutes, chances are they missed key details to your move that we didn’t and it will only lead to inaccurate pricing and higher moving costs.

Before the walk-through is complete, our Certified Office Moving Consultant will determine the best route the movers will utilize when loading your office items onto the moving truck. He will examine if an elevator will be used. If so, he will measure the interior dimensions to determine how many items can fit inside the elevator on each trip. In addition, he will ride the elevator to determine the time it takes to raise and lower to your floor. If you have a loading dock, Our Certified Office Moving Consultant will measure the dock height to determine the optimal type of moving truck that will load and unload the most efficiently. If there is no loading dock, then our Certified Office Moving Consultant will locate the closest loading location to park the moving trucks.

When the walk-through is complete, our Certified Office Moving Consultant will have detailed notes containing all of the pertinent information regarding your office move. He will have a full list containing the furniture, IT equipment, and the estimated number of crates it will take to pack your office contents. He will have a space plan for your current office and he will have identified the best loading location. All of this information will be typed and used to determine the number of movers, the number of trucks, and the number of rental crates it would take to efficiently pack and move your total office. Our Certified Office Moving Consultant will provide you with all of this information when you receive your move quote.

The Follow-up Visit with Our Certified Office Moving Consultant

Within 24 to 48 hours after our initial visit, our Certified Office Moving Consultant will schedule an appointment to revisit your office and provide you with a guaranteed and accurate cost to move your office. Your moving quote will only be based on the services that you requested. Our Certified Office Moving Consultant will walk you through your moving quote, page by page, answering any questions that you may have. Often our clients are pleasantly surprised how organized and easy-to-read our moving quotes are. Your moving quote will contain a recommended move plan that will coincide with the specific dates that you want your move to take place. All of our pricing will be itemized, so you can choose which services make the most sense for your budget. Many moving companies just lump all of their pricing together and try to hide inflated costs. At Professional Movers.com, you see everything involved in our moving quotes, even the formula we used to determine our pricing.

During the follow-up visit, you may add or select services based on your needs and moving budget. You may have even discovered that you need to switch moving dates or split your move into separate stages. Whatever the case may be, our Certified Office Moving Consultants are not pushy salesmen trying to score a big commission. Our Certified Office Moving Consultants are just that, they are consultants. They are there to help guide you through the daunting task of relocating your company. After all, we appreciate that you have entrusted us with the tremendous responsibility of helping to orchestrate your office relocation. So if you have changes or if you would like portions of your moving quote updated, our Certified Office Moving Consultants will work with you to organize your move and revise your moving quote.

Upon the conclusion of the follow-up visit, our Certified Office Moving Consultant will ask you to sign the offer on the moving quote and provide us with a purchase order for moving services. Once our Certified Office Moving Consultants have received those two items, he will reserve your requested move dates, moving team, and moving equipment.

Delivery of Rental Crates & Employee Packing Demonstration

About one week before your move date, our Certified Office Moving Consultant will schedule an appointment to visit your office and meet with your employees. He will bring samples of the rental crates, packing materials, and labels that your employees will use to prepare their items for the move. During the visit, our Certified Office Moving Consultant will gather your employees into a conference room and begin to provide live demonstrations on how to pack rental crates and label office items. Our Certified Office Moving Consultant will handout worksheets with packing tips and pictures illustrating how to pack and label items. There will be a Q & A session where employees will be able to ask questions about the move and bring up any concerns. Towards the end of the meeting, Our Certified Office Moving Consultant will inform the employees when they can expect their rental crates, packing materials, and labels to be delivered. He will also review the terms of the rental agreement and make sure that your employees understand their responsibilities regarding the preparation of their individual offices.

Selection of Our On-site Supervisor and Move Team

It is now less than a few days before your move and our Certified Office Moving Consultant will select which on-site supervisor and which moving team will be responsible to service your office move. Our Certified Office Moving Consultant will match the specifications of your move with the skill set of each mover. For example, if your office move requires disassembly or reassembly services, he will assign Professional Movers.com installers to your move. Conversely, if your move requires the movement of your computer systems and servers, then he will assign a team of Professional Movers.com IT specialists.

Every office move team has an assigned on-site supervisor who will act as the foreman on the job site. The on-site supervisor will be a working mover and will be responsible to assign daily duties to each mover. During your move, if you want to make any adjustments, the on-site supervisor will work with you to make sure your requests or adjustments are met.

All office moves include an internal pre-move meeting with our Certified Office Moving Consultant, our on-site supervisor, and the move team assigned to your office move. Our move team and on-site supervisor will be briefed on the specifications of your move including the timetable and all the promises that the Certified Office Moving Consultant included in your moving quote. A full review of your detailed move plan will be discussed before our movers arrive at your office. Our move team will be provided a full list of moving equipment needed for your relocation, including protective materials, trucks, and manpower.

What to Expect on Moving Day

On moving day, our Certified Office Moving Consultant, on-site supervisor, and move team will arrive on-time and check in with your company representative. They will again review the daily move plan and begin their work. Your office will be relocated by our supervised move team that will consist of experienced movers who are permanent employees of Professional Movers.com Each mover assigned to your move will have been pre-screened and have already passed a third-party certified background check that includes a rigorous criminal background investigation and drug-screening. At Professional Movers.com we employ only the best, well trained, skilled, and courteous professional people. Our movers will be in uniform and prepared to work within an office environment. They will be non-smokers and abide by all policies set forth by your company.

Since our Certified Office Moving Consultant has already laid the foundation for a successful office move, you can expect your move to be stress-free and organized. Our movers will be highly skilled using the latest moving equipment to protect your office and items. All of your office contents will be placed in their designated areas using our color coded labeling system. Any items disconnected will be reconnected at your new office. At the end of your move, our working supervisor will check in with your company representative to see if they would like any items shifted or repositioned at your new office.
